For club directors, evaluators, and families

Tryout decisions should survive the walk between courts.

Evaluators lose notes, directors reconcile duplicate athletes, and families wait without knowing which decision or deadline is current.

The learning cycle

Turn one reviewed step into the next

Two evaluators score the same athlete on opposite sides of a crowded gym. One writes jersey 18, the other writes the athlete's name, and a late walk-up receives a temporary number. By evening, the director has photographs of paper sheets, a shared file with missing rows, and three messages asking whether offers went out. The next season roster depends on reconciling identities, rubric versions, evaluator sources, and decisions without rewriting inconvenient evidence.

How the work moves

Keep progress private and explainable

SightSmash Tryouts connects registration and check-in to the canonical athlete and program context while preserving walk-up recovery. Each evaluator records against the exact session, candidate, rubric version, criterion, and source. Offline or concurrent entries can synchronize without silently choosing a winner. Directors see duplicates, missing criteria, conflicts, and late changes as reconciliation work. A private evaluation remains evidence for an authorized selection process; it does not become an official statistic or public athlete profile.

The decision stage separates evaluation from placement authority. Directors review the accepted evidence, document the organization's decision, and issue a bounded offer with audience, deadline, and correction state. A family can accept, decline, or ask for the permitted next step without seeing another athlete's evaluation or inferred ranking. Payment evidence, when later authorized, remains separate from the offer and cannot create team membership by itself.

Accepted placement fulfills into the canonical roster and calendar rather than a tryout-owned team list. The athlete history can retain family-authorized participation and source-labeled feedback where policy permits, while confidential evaluator notes remain restricted. If an offer changes, a duplicate is resolved, or a roster spot reopens, the correction trail explains what changed and which downstream action needs attention. The handoff finishes only when the right team, family, and season records agree.

The next responsible step

Who needs what next

From check-in to evaluation

The candidate, temporary identifier, session, and rubric version stay linked so a walk-up can be reconciled without losing source evidence or creating another athlete.

From evidence to offer

Authorized directors decide placement from reviewed evidence. Evaluator notes, rankings, selection authority, offer delivery, and payment remain separate states with separate audiences.

From acceptance to roster

An accepted offer fulfills into the canonical roster and team calendar. The tryout record never becomes a competing roster or a shortcut around guardian and program authority.

Trust and controls

The important limits stay visible

SightSmash Tryouts does not guarantee selection, publish rankings, create official statistics, verify coach qualifications, or let film, imported data, payment, or an evaluator score create roster authority. Minor evaluations stay private and relationship-scoped; organization policy owns appeals, permitted feedback, documented corrections, and the accountable final placement decision. Families can understand which deadline and decision version applies.
