For families and program directors
Registration should finish with a usable roster.
Families repeat the same details while directors chase waivers, balances, and roster changes across disconnected files.
Join the waitlistThe family moment
From first question to the next clear step
Registration closes at midnight. A director opens three exports the next morning: one has the paid athletes, one has the signed waivers, and one has the team choices. A returning parent entered the same emergency contact twice, but the second child is still missing from the roster. Coaches are waiting for a list they can trust. The family thinks the job ended when the confirmation screen appeared; the club knows the hardest reconciliation has only started.
How the work moves
Keep the handoff understandable
Registration & Rosters connects the offering a family selects to the household, athlete, program, team, and season records that already give the choice meaning. Returning families reuse governed details instead of creating another athlete. New answers remain tied to the exact form and waiver version they came from. Capacity, eligibility, payment state, and staff review stay visible as separate facts, so a successful charge cannot silently stand in for an accepted registration or a completed waiver.
When the registration is accepted, fulfillment moves the right athlete into the canonical roster and calendar context. A correction follows the same chain: update the authoritative family or registration fact, preserve the earlier evidence, and show the downstream roster exception that still needs attention. Directors see missing signatures, unresolved duplicates, capacity conflicts, and failed-payment recovery as work to resolve. Coaches receive the roster they are authorized to use, not a spreadsheet snapshot detached from later family changes.
The result is a cleaner handoff before the first practice. Families can see which action remains and which child it belongs to. Program staff can separate a pending review from a hard rejection. Team staff begin with accountable membership rather than copying names into another system. That shared context also gives schedules, attendance, messages, and game-day tools the correct people and relationships without granting any new writer authority over the household or athlete record.
The next responsible step
Who needs what next
From family details to registration
Household and athlete facts are reused only where the family has authority and the offering requires them. Each answer keeps its source and form version, so a later correction does not erase what was originally submitted.
From acceptance to the team
An accepted registration fulfills into the canonical roster and season context. Payment, waiver, eligibility, and staff approval remain distinct evidence; none of them alone creates team membership.
From roster to the week
Once membership is resolved, the team calendar, attendance, family actions, and authorized messages can address the right people without another import or an unofficial list.
Trust and controls
The important limits stay visible
Registration & Rosters does not replace guardian authority, organization policy, eligibility review, payment reconciliation, or the canonical roster writer. A form submission is not admission, a charge is not entitlement, and an imported list is not permission to expose a minor. Those decisions stay with their named authorities and correction paths.
